Key Responsibilities:

Sales Ledger Management:

· Maintain and update the sales ledger for all customers.

· Issue accurate invoices to customers based on contracts, agreements and proof of delivery.

· Reconcile sales invoices with the corresponding receipts and adjustments.

· Monitor accounts receivable and ensure that the ledger is up to date.

Credit Control:

· Manage and monitor customers’ accounts and actively follow up on payments due.

· Contact customers via phone or email to remind them of overdue payments.

· Ensure timely collection of outstanding debts and reduce overdue receivables.

· Escalate accounts as needed to the Finance Director

Purchase Ledger Management:

· Provide the necessary cover for key team members

Invoice Processing:

· Receive, verify, and input purchase invoices into the purchase ledger system.

· Ensure invoices are matched to purchase orders and delivery receipts.

· Verify the accuracy of vendor invoices and resolve any discrepancies promptly.

· Maintain a schedule for all unpaid invoices and ensure timely processing.

Payment Processing:

· Prepare payment runs for approval in accordance with company payment policies.

· Ensure timely and accurate payments to vendors,

· Maintain and update vendor bank details and payment information.

Reporting and Analysis:

· Assist in producing regular cash flow forecasts and reports for management.

· Prepare weekly and monthly sales and debtors reports.

General Administration:

· Assist with month-end and year-end accounting procedures and reporting

· Manage any ad-hoc tasks related to sales and purchase ledgers or credit control activities.

· Maintain and safeguard data in compliance with relevant regulations.

  • IT literacy – confident using Excel formulas, spreadsheets, and financial systems.

Preferred Qualifications

  • A relevant third-level qualification in Accounting, Finance, or Business.

  • Studying towards a professional qualification (e.g., ATI, IATI, ACCA, CPA, or similar) is an advantage but not essential.

  • Prior experience in an accounting or finance environment (internship, placement, or previous role) preferred.

  • Proficiency in Microsoft Office, particularly Excel; experience with accounting/ERP systems is an advantage.
